A Weighted Priority System

There are Two Influential Factors in the “Weighted Priority”

  1. An Owner’s Prioritized List of Choices
    • The System Will Always Attempt To Get You a Top Choice (based on supply and demand)
  2. An Owner’s “Priority Level”
    • Priorty Level is Based On 4 Years of Historical Results**
      • If you did not get a top choice in previous years, it will try to give you a top choice this year

**Owners that have never participated in the online Annual Reservation System will be assigned a “random” priority level (for their first year of use only)

Approximately 2,060 owners representing 2,151 contracts placed requests to make reservations for the summer 2027 season. This year, the participation rate was fairly flat compared to 2026. Overall participation was 74% of eligible owners.
The assignment numbers did fluctuate slightly over 2026. Specifically, here are the results:

Booking Window

Opens: May 11, 2026 at 9:00 a.m. MT

  • 15 Check-in Requests Required – 2 Bedroom Owners
  • 10 Check-in Requests Required- 3 Bedroom owners

Closes: Friday, June 5, 2026 at 5:00 p.m. MT

Four-Bedroom Booking Day: 4-bed owners (deeded to 815/817 or 825/827) can call on Saturday, May 30, 2026, for an open booking day.

Confirmations Sent: Wednesday, June 10, 2026 (the first day you can quote any reservation from the ARS)

Open Booking Day for Non-Participants: Wednesday, June 10, 2026 at 9:00 a.m. MT

Owners and Employees access the Annual Reservation System via the owner’s Grand Central account

Add Note to Customer File

Add “BiGVARS Summer” note to the customer file with the owner’s name you spoke to if you filled out their selections.

Booking Rules for Unique Requests – Always use Primary Info on Spreadsheet (minus the name)

  • DO NOT use online reservation system (Use Google Doc Spreadsheet, MUST call us)
  • 3 Week Request Minimum (3 3-day requests & 3 4-day requests)
  • Sunday arrivals and departures only
    • No restrictions – may request Sunday arrivals for both stays, vice versa, or mix it up
  • Owner required to pay the full cost of the cleaning– after reservations are confirmed
  • Add CC to Owner File while taking requests and check “Reservation” box

(We will contact owner for payment after reservations are confirmed)
